Understanding Payout Timelines & Bank Transfer Delays

 
Paid rent but it still says “processing”? Totally normal. In Canada, most rent moves by EFT/PAD bank transfer and clears on business days only (no weekends or statutory holidays). Here’s the quick, no-jargon version so you know what to expect.

What happens after you tap “Pay” (PendoPay)

Scheduled

  • You can still edit or delete it at this stage.

Processing

  • You can no longer edit or delete it.

Clearing and payout

From Processing, expect 4-6 business days for funds to move from the tenant’s bank account to the landlord’s bank account. These timelines are set by the bank and our payment processor, VoPay. Payments are not processed on weekends or statutory holidays.

If something goes wrong

If a withdrawal cannot be completed, both landlord and tenant are notified. Returned/NSF fees are charged to the landlord or PM company, who may ask the tenant to reimburse.

In Canada, business days exclude weekends and statutory holidays. Plan your schedule with that in mind.

Why transfers get delayed

  • Payment is submitted after the batch cut-off time (5:00pm PT): Your “Day 0” shifts to tomorrow.
  • Weekend or holiday timing: If you submit your transaction on a Friday after 5:00pm PT or throughout the weekend, it will be submitted with the Monday batch (or the next business day if Monday is a holiday).
  • First-time payment checks: New bank accounts or first payments may get a one-time verification hold.
  • Insufficient funds (NSF):The bank returns the debit. NSF notifications can take 2–3 business days to finalize.
  • Wrong account details: A mismatched transit or account number can stall or reverse the transfer.
  • Security reviews: Banks sometimes pause unusual activity to protect you.

What you’ll see in PendoPay

  • Processing / Pending: Payment requested; bank is verifying.
  • Completed: Payment cleared and posted.
  • Failed / Returned: Payment didn’t clear (often NSF or account info issue).

How to avoid last-minute surprises (2-minute checklist)

  • Use Auto-Pay (PAD) and set it 2–3 business days early.
  • Confirm bank info from a void cheque or your banking app.
  • Keep a buffer so full rent is available before the run date.
  • Mind cut-off times; evening payments often “start” tomorrow.

Common questions

Will the money leave my account instantly?
Not always. Some banks show a pending hold first; the final debit posts later the same or next business day.

Why does my first payment take longer?
New bank connections and first-time tenants often get a one-time security/verification hold.

Can I switch accounts mid-month?
Yes. Update your payment method in the tenant portal before your next scheduled payment. This will delete any pre-programmed transactions under the old banking details and you can create a new transaction series with the updated bank information.

What if my payment fails?
You’ll see Failed/Returned status and email. Have your tenant top up their account (if NSF), confirm bank details, and pay again.
